Privacy Policy for Arjuna

This policy applies to the Arjuna Android application and the Arjuna Education website and campus services provided by Arjuna Science PU College, Dharwad ("we", "our", or "us"). The app gives students, parents and authorized staff access to institution-managed educational services.
Information used by the service
Depending on your role and the services you use, the app accesses information supplied by you or maintained by the institution: account and profile details, student and staff identifiers, names and contact details, parent-child account relationships, admission and academic records, attendance, examination results, fee and payment records, homework submissions, and documents or photographs you choose to submit. Authorized staff may also access employment, leave and payroll records through the relevant modules.
How information is used
Information is used to authenticate users, display records appropriate to their role, manage admissions and academic activities, record attendance, administer fees and campus services, process submitted forms and documents, communicate about college services, and meet applicable institutional and statutory requirements.
Camera and face attendance
Where the institution enables face attendance, authorized users can capture registration photographs of students or staff. These photographs are uploaded to the institution's server. The mobile attendance feature retrieves registered face images and processes facial features on the device to match faces and submit attendance records. Face images and the facial representations used for matching are sensitive personal information. The face-attendance camera workflow does not record audio.
You can deny or revoke camera access in Android settings; camera-based features will then be unavailable. Contact the college administration about face registration, correction or removal of registered photographs, or attendance arrangements when you do not wish to use face recognition.
Files, local storage and access
File-selection features allow you to choose documents for upload. Reports and other files may be downloaded, exported or shared when you use those features. The app stores sign-in session information and preferences on the device to support account access. Records available to a user depend on their account and assigned permissions. Keep your device and account credentials secure, and sign out on shared devices.
Technical diagnostics
The Android app uses Google ML Kit for on-device face detection. ML Kit collects technical information such as device and app versions, installation identifiers, feature events, error codes and performance measurements for diagnostics and usage analytics. This technical data is transmitted using HTTPS. The app performs face detection and matching on the device; face-registration photographs are separately uploaded to the institution's server as described above. Data sharing and external services
We do not sell or rent personal information. Institution records are made available to authorized users through campus services. Data may be provided to affiliated educational boards and authorities as required by law. If you open an external meeting, payment or other third-party service from the app, review that service's privacy policy before providing information. Files that you choose to export or share are sent to the destination you select.
Students and parents
The service includes educational records relating to students, including students under 18. Parents or guardians should contact the college administration about their child's information, account access, face-attendance participation, or privacy concerns.
Retention, correction and deletion requests
Contact the college administration to request access to or correction of your information, account closure, or deletion of personal information and face-registration photographs. Please identify your account and describe the records concerned without sending your password. Ask the administration for the retention period applicable to each record type and whether educational, accounting or statutory obligations affect your request. Uninstalling the app does not delete institution-held records.
